Outlook contacts not showing on incoming calls? How to fix it

Your phone names a caller only when their number is in the phone's own contacts. The Outlook app can copy your Outlook contacts there, but only when a few settings line up. Work through these checks: they come from Microsoft's, Apple's and Google's own support pages. If the caller has only ever emailed you, skip to the last section, because that's a different problem.

The short answer.

Outlook copies your contacts into your phone's contacts only when Save Contacts (iPhone) or Sync Contacts (Android) is on, and Outlook is allowed to use your contacts. On iPhone, also check that iCloud is the default contacts account and leave Outlook open for the first copy. On Android, Auto sync data must be on. On a work account, your company can switch it all off. And Outlook only copies the people saved as Outlook contacts: someone who has only emailed you isn't one.

Editing contacts In Outlook: the copy goes one way In Outlook or Contacts: it syncs both ways

1. On iPhone: check Save Contacts.

Work down the cards in order. Each step is from Microsoft's or Apple's support pages, listed under Sources.

Outlook for iPhone

Turn it on, and let it in

  1. If you have more than one account on the iPhone, open Settings > Apps > Contacts > Default Account (Settings > Contacts before iOS 18) and choose iCloud, as Microsoft advises. Outlook's copies then go into your iCloud contacts.
  2. In Outlook, open Settings (the gear), select your account and turn on Save Contacts.
  3. When Outlook asks to use your contacts, allow it. To check later: Settings > Privacy & Security > Contacts, tap Outlook, and choose its access under Contacts Access. Without access, Microsoft says contact sync can't be switched on.
The first copy

Keep Outlook open

  1. Open Outlook and leave it on screen: Microsoft says the first copy of your contacts only starts with Outlook in the foreground. You can switch apps after that while Outlook is still running.
  2. Follow any prompts. Outlook may ask you to keep the phone open and plugged in.
  3. Turn on Save Contacts on one device only. With it on an iPad and an iPhone at once, one has to be switched off.
Missing or doubled contacts

Microsoft's reset

  1. Wait 24 hours, then restart Outlook: Outlook tidies up missing and duplicate copies by itself.
  2. Still wrong? Turn off Save Contacts and check its copies have gone from the Contacts app.
  3. If any are left, in Outlook go to Settings > Help & Feedback > Delete All Saved Contacts.
  4. Turn Save Contacts back on.
Afterwards

Edit them in Outlook

  • On iPhone the copy goes one way, so Microsoft says to edit these contacts in Outlook, not in the Contacts app.
  • Doubles from other accounts, not Outlook: in Contacts, below My Card, tap View Duplicates to review and merge them. For Outlook's own copies, use Microsoft's reset instead.

2. On Android: check Sync Contacts.

Menus differ a little between phone makers. These steps are from Microsoft's and Google's support pages.

Outlook for Android

Turn on Sync Contacts

  1. In Outlook, go to Settings.
  2. Under Accounts, tap your account.
  3. Switch Sync Contacts on.
  4. Greyed out, with "Contacts sync isn't turned on in system settings"? Turn on Auto sync data in the Accounts menu of your phone's settings (often behind a ⋮ or ☰ menu; you can search Settings for Accounts), then try again.
Android settings

Let Outlook use your contacts

  1. Open Settings > Apps and tap Outlook (See all apps if it isn't listed).
  2. Tap Permissions > Contacts and choose Allow.
  3. If the permission keeps disappearing: Android can remove permissions from apps you don't use. Check Pause app activity if unused, under Unused app settings on the same screen.
Work phones

A work profile

  • With a work profile, Outlook saves contacts inside the work profile.
  • Android lets the phone app in your personal profile see them by default, but your company can turn that off, and Microsoft notes some phone and messaging apps don't support it.
Afterwards

Duplicates and editing

  • On Android, Outlook and the Contacts app sync both ways, so you can edit in either.
  • Doubles in your Google contacts: in the Contacts app, choose the Google Account, then Fix & manage > Merge & fix > Merge duplicates. Google can't merge contacts saved in different Google Accounts.

3. On a work account, ask IT.

If the switch is missing, greyed out or turns itself back, your company's settings may be why. Microsoft lets IT, through Intune:

  • Block it: a protection policy can stop Outlook sharing work data with the phone's own apps, which turns off Save Contacts for work and school accounts.
  • Lock it: IT can set Save Contacts on or off and stop you changing it.
  • Trim it: IT can choose which contact fields are copied to the phone, phone numbers included. Without the numbers, caller ID has nothing to match.

Ask your IT team whether Save Contacts is allowed on your account, and which fields it copies.

4. Still a number? They may not be an Outlook contact.

Save Contacts and Sync Contacts copy your Outlook contacts: the people saved in Outlook. Most people who email you were never saved. Their number is in their email signature, so your phone has nothing to match the call to, however the settings are.

One at a time

Save them after they ring

  • Find their email, copy the name and company from the signature, and save the number from your call list.
  • That fixes the second call, not the first. The steps for iPhone and Android: save the caller after they ring.
Everyone who has emailed you

Sigbot's Caller ID

  • Sigbot reads the email signatures in Outlook and Microsoft 365 and turns each one into a contact, phone numbers included.
  • iPhone and Android: Caller ID sync adds your Sigbot contacts to the phone's address book and keeps them up to date, so calls show a name and company.
  • iPhone: or label calls with the name and company, without adding anything to your contacts.
  • It only reads mail and never changes your Outlook contacts, so it works alongside Save Contacts. How to set it up: caller ID from your Outlook contacts.

After the first scan, Sigbot checks your mailbox for new mail by itself: every day on paid plans, every week on Free, so new people reach your phone as they email you. At work, most companies have IT approve Sigbot once, for everyone; our one-page brief for IT admins has the approval link.

Questions.

Why don't my Outlook contacts show when they call my iPhone?

Your iPhone names a caller from its own contacts. Outlook copies your Outlook contacts there only when Save Contacts is on in Outlook's settings, Outlook is allowed to use your contacts, and, if you have more than one account, iCloud is the default contacts account. The first copy only starts with Outlook open.

Why is Sync Contacts greyed out in Outlook for Android?

Microsoft says that when the switch is greyed out with the message "Contacts sync isn't turned on in system settings", Auto sync data is off. Turn on Auto sync data in the Accounts menu of your phone's settings, then try again.

Why can't I turn on Save Contacts on my work account?

Your company can block Save Contacts for work or school accounts through Microsoft Intune, or set it on or off and stop you changing it. Ask your IT team.

How long does Outlook take to copy contacts to my iPhone?

Microsoft doesn't give a time. The first copy only starts while Outlook is open on screen, and carries on while Outlook is still running. If contacts are missing or doubled afterwards, Microsoft says to wait 24 hours and then restart Outlook.

Why do I see duplicate contacts after turning on Save Contacts?

Microsoft lists Save Contacts being on two devices at once, such as an iPad and an iPhone, Outlook being suspended during the copy, and sync errors over time. Wait 24 hours and restart Outlook. If that doesn't fix it, turn off Save Contacts, check the copies have gone from Contacts, use Settings > Help & Feedback > Delete All Saved Contacts in Outlook if any remain, then turn Save Contacts back on.

Can I edit Outlook contacts in the iPhone Contacts app?

Microsoft says to manage them in Outlook for iOS, not in the iPhone's Contacts app, because the copy goes from Outlook to the iPhone. On Android it syncs both ways, so you can use either.

Why does someone who emailed me still show as a number?

Because they aren't an Outlook contact. Outlook copies the contacts saved in Outlook, and someone who has only emailed you was never saved, so their number is only in their email signature. Save them as a contact, or use a tool such as Sigbot that reads signatures and adds the people to your phone.

Does Sigbot replace Outlook's Save Contacts?

It works alongside it. Sigbot reads the signatures in your Outlook mailbox, and its iPhone and Android apps add those people to the phone's address book, so people who've only emailed you show by name too. On iPhone it can label calls instead. It only reads mail and never changes your Outlook contacts.
